Einstein famously said, “Order is needed by the ignorant, but it takes a genius to master chaos.”
However, there’s a catch. While we all believe we’re geniuses, most of us aren’t. And a significant portion of our work involves repetitive or process-oriented tasks. True innovation and creativity are the exception, especially for those not in the arts. Studies indicate that only 10% to 20% of work time is dedicated to innovation and creation, while the rest is spent on analytics, problem-solving, and execution.
A cluttered desk can lead to “Cognitive Overload.” Visual distractions compete for our attention, causing our focus to diminish and resulting in decreased productivity. Additionally, unfinished work creates higher stress levels and a sense of being overwhelmed. The time wasted searching for information only exacerbates the problem.
Here are some steps you can take to improve your workspace:
1. Begin by cleaning your desk. Remove everything from the table.
2. Sort through your belongings and discard items that are no longer useful, such as pens that don’t work, notepads, and old sticky notes.
3. Organize your workspace into zones. The primary zone, in front of you, should contain the most important items, such as your keyboard, mouse, and monitor. Alternatively, it could be your notepad or journal. The secondary zone should hold items you need throughout the day, like a beverage, a notepad, a pen, and your day planner. The reference zone, located at the outer edges, should contain items you rarely need.
4. Consider the value of each item. Keep only a few family pictures or a vacation souvenir. Sparsity is key. Only welcome items that truly add value and boost your morale when needed.
5. Set aside two minutes at the end of each day to tidy up your workspace. Returning to a clean and organized space will make your start to the next day much better.
